Centre Manager, The Haven

 

Age Concern Southend-on-Sea (“ACSOS”) wishes to appoint a Centre Manager to oversee the day-to-day operations at The Haven

 

Reports to:     CEO, Age Concern Southend-on-Sea

Background

Only weeks after completion of the building alterations necessary to convert the Grade II listed, ex-Havens department store in Westcliff-on-Sea into a “one-stop” community centre housing all of the facilities needed by the older people of Southend and surrounding areas (“The Haven”) the centre had to close in March due to the coronavirus pandemic.

The ground floor of the centre includes offices for other charities that support older people, Southend Adult Services and NHS drop-in services, a meeting room, day care centre, café, hairdressing salon and foot care clinic while the first floor houses Club 50+ which provides leisure and social activities to over 50’s. We currently plan to re-open The Haven on a phased basis commencing in September in line with good practice and government regulations on social distancing.

We are seeking a highly motivated individual who has the range of skills and enthusiasm to manage the centre and engage our community to use the facilities on offer.

Job Purpose:

  • Develop The Haven Community Hub as a well-run, financially sustainable operation
  • Ensure that the space within The Haven is fully utilised in the most cost efficient and profitable manner
  • Identify new opportunities by means of effective marketing, networking and innovative solutions
  • Ensure a productive relationship with those organisations that rent space at The Haven or operate the café, hairdressing salon and foot care clinic and with Club 50+ members.
  • Manage The Haven on a day-to-day basis
  • Manage staff and volunteers located at The Haven

Principle Duties and Responsibilities:

Develop The Haven as a well-run, financially sustainable operation

  • Contribute to the development and implementation of that part of the ACSOS Business Plan that relates to The Haven and recommend changes as appropriate
  • Ensure effective monitoring and evaluation systems are put in place
  • Develop and manage the annual budget for The Haven
  • Ensure robust cost control procedures are in place to meet The Haven’s budget
  • Oversee the collection of relevant statistical, financial and other management information
  • Manage supplier relationships to ensure efficiency, effectiveness and good value for money
  • Monitor the financial position of each of The Haven’s income streams and, in conjunction with the Treasurer and Bookkeeper, provide cash flow forecasts and comparisons with budgets for presentation to the CEO and Trustees as and when required
  • Identify and apply for funding opportunities alongside the CEO and Marketing and Fundraising Assistant.

 

Ensure that the space within The Haven is fully utilised in the most cost efficient and profitable manner

  • Continuously develop the range and diversity of activities offered at The Haven to ensure that they meet the needs of older people and the wider community
  • Ensure that activities offered by Club 50+ are both profitable and well attended
  • Expand the number of classes available at The Haven to ensure that it is fully utilised between 4 p.m. and 8 p.m. on weekdays and at weekends in addition to the current weekday opening hours of 9 a.m. to 4 p.m.
  • Seek profitable uses for the space at The Haven when not in use by licensees or Club 50+
  • Set appropriate hire charges and terms and conditions of hire in consultation with the CEO
  • Ensure that services provided by hirers are compatible with the terms of their hire
  • To ensure the Haven has an up to date User Induction Pack and procedures for using the centre

Identify new opportunities by means of effective marketing, networking and innovative solutions

  • Secure new users of The Haven to help deliver its income targets, working closely with the Marketing and Fundraising Assistant
  • Promote the use of the Haven by, amongst other things, maximising publicity opportunities and liaising with the CEO
  • Develop close working relationships with local partners to seek compatibility of activities and delivery of innovative joint ventures
  • Encourage local services, community groups and activities to be run from the Haven, for example open days, social events, public meetings and advice services

Ensure a productive relationship with those organisations that rent space at The Haven or operate the café, hairdressing salon and foot care clinic and with Club 50+ members

  • Hold regular meetings with licensees to ensure that their needs are being met and that any problems are resolved speedily and to encourage the generation of ideas that may be beneficial to both licensees and ACSOS
  • Ensure all licensees meet our health and safety and safeguarding requirements
  • Develop communications and engagement with hub users including Club 50+ members

 

 

 

 

Manage The Haven on a day-to-day basis

  • In conjunction with the caretakers, ensure that facilities are of an acceptable standard of readiness and cleanliness and are fully operational and available for public use at all times to ensure a high standard of service to licensees and customers
  • Ensure that the equipment at The Haven is fully operational at all times, identifying, reporting or arranging for service and/or repair as required
  • Book routine maintenance visits for contractors as required informing users of The Haven as necessary
  • Take overall responsibility for health and safety in the building including, in conjunction with the CEO, the review and updating of policies and procedures
  • Be familiar with, disseminate and implement all policies and procedures
  • Carry out necessary fire alarm and emergency lighting checks
  • Carry out annual risk assessment
  • Develop good relationships with Club 50+ members and other users to encourage participation and feedback

Management of staff and volunteers located at The Haven

  • Undertake the day-to-day supervision of the receptionists, caretakers and volunteers located at The Haven and support their development
  • Carry out 1-2-1 appraisal meetings as and when required
  • Plan work rotas for staff and volunteers to ensure the operational needs of The Haven are met
  • To develop a volunteer training plan and a schedule of volunteer recruitment events

Other Related Duties

  • The post holder will also undertake such additional duties as necessary in relation to the work of the Haven and for ACSOS in general

Personal Qualities:

The Manager will have a strong commitment to helping members of the community get involved with the Haven and will excel at relationship building. The Manager will also need to be self-reliant, energetic, able to work on their own initiative and to prioritise activities.

The continued success of the Haven will depend heavily on the organisational skills of the Manager and his/her ability to communicate effectively with all stakeholders including members of the community and work alongside colleagues, partners and Trustees.

Skills and Abilities

  • A professional attitude and approach to the management of the Haven
  • At least 3 years’ experience of running a centre or similar venture, preferably within a charity/social enterprise/heritage organisation
  • Excellent communication skills – both written and verbal
  • Excellent organisational skills
  • Excellent interpersonal and relationship building skills
  • Experience in marketing and promotion
  • Experience in H&S
  • Customer service skills
  • Confident, self-motivated, innovative and able to work under pressure and meet deadlines
  • Ability to work on own initiative without ongoing supervision
  • Good team leadership skills with the ability to develop and support all members of the team
  • Able to maintain a calm professional attitude in challenging situations
  • Able to prioritise work and demands and manage many projects simultaneously balancing conflicting demands
  • Able to work collaboratively
  • Able to engage with a wide range of stakeholders
  • Financial/budgeting experience
  • Able to work flexible hours when required including evenings and weekends

Education and Training

  • Educated to at least A-level/level 3 or equivalent with a range of relevant qualifications. A degree or 3 years relevant experience is desirable
  • Computer literate with a working knowledge of Word and Excel.
  • Proven experience in either the voluntary/community sector, business, project management or marketing
  • H&S and first aid qualifications are desirable

Other

  • A strong commitment to community-based services
  • Able to work evenings and weekends and attend the Haven at short notice
  • Consent to an enhanced DBS disclosure

Salary etc

  • Starting Salary will be up to £25,000
  • Holiday entitlement is 20 days plus Bank Holidays
  • There will be a six month probationary period, extendable at the Trustees discretion
  • Relevant training will be provided and the Centre Manager will be expected to attend both internal and external training as required
